FY23 BOY & Q1 Performance Measures Due Wednesday, Dec. 21, 2022

Please note that FY23 Beginning of Year (BOY) and Q1 Performance Measures are due Wednesday, Dec. 21, 2022. The BOY report includes those cases/children/volunteers as of Sept. 1, 2022. Q1 Performance Measures include only children with cases opened and volunteers assigned during the first quarter (Sept. 1, 2022 – Nov. 30, 2022).

Instructions & Reminders

1.The data will now be due on the 15th business day of the month following the end of the quarter. This allows 5 additional business days to collect and report data. FY23 Data Submission Calendar

2. The ODM will use the same definitions standardized in Optima to ease the reporting process. Please remember to run the exception reports listed on the attached documents for each one. The Optima Data Management Toolkit includes a section called Texas CASA Custom Reports. These are the reports you need to enter your information into the ODM:

  • Texas ODM Fiscal Start (BOY) Child-Case Submission
  • Texas ODM Fiscal Start (BOY) Volunteer Submission
  • Texas ODM Quarterly Child-Case Submission
  • Texas ODM Quarterly Volunteer Submission

The Optima report entitled Texas Volunteer Contacts/Activity Summary by Date is the report you will run to enter the data for Volunteer Activity Types by Instances and Hours. Make sure you run the Un-approved Contact Logs-by Supervisor Exception Report first and make sure there are no pending contact logs.

3. The demographics have changed to a Hispanic and a Non-Hispanic section to clarify the race and ethnicity. Remember, you report this by county if you serve multiple counties.

4. Depending on which data conversion option your program chose, you may need to map some of the older definitions into the standardized definitions for reporting purposes.
